How to use it
- Excel: enter the first day of the pay period and your rate, then the times for each day.
- Check the week 1 and week 2 totals: overtime is figured separately for each.
- PDF: print it, fill it in, and total each week before adding them together.
The formula
Week overtime = max(0, week hours − 40), for week 1 and week 2 separately
Gross pay = regular hours × rate + overtime hours × rate × 1.5
Example: Week 1: 40 hours. Week 2: 41 hours. Total 81 hours, of which 1 is overtime. At $20/hour: 80 × $20 + 1 × $30 = $1,630.
Good to know
- Don't total 80 hours and call anything over 80 overtime; under the FLSA, 30 + 50 hours still earns 10 hours of overtime.
- Hospitals using the 8-and-80 system calculate overtime differently; this template uses the standard 40-hour week.
- Biweekly pay means 26 paychecks a year; two months each year have three paydays.
Questions
What is a biweekly timesheet?
A timesheet that covers a two-week pay period, usually 14 days starting on the same weekday as your workweek. Full-time is 80 hours.
How is overtime calculated on a biweekly timesheet?
For each week separately: hours over 40 in week 1 and hours over 40 in week 2. The two weeks can't be averaged.
Can I change the overtime threshold?
Yes. In the Excel file, change "Overtime after (hours/week)" if your agreement differs. Daily overtime states like California need the California overtime calculator.
