How to use it
- Excel: enter the week's start date and your hourly rate, then type times like 8:00 AM. Hours, overtime and gross pay fill in by themselves.
- PDF: print it and write the times in by hand. Use the hours to decimal chart to total the minutes.
- Online: fill in the card below. It's saved in your browser, so next week it's still there. Print it or download a CSV for payroll.
The formula
Hours per day = (lunch out − time in) + (time out − lunch in)
In Excel: =MOD(out − in, 1) × 24, so shifts past midnight still work
Overtime = hours over 40 in the week × rate × 1.5
Example: Monday to Friday, 8:00 AM to 4:30 PM with lunch from 12:00 to 12:30, is 8 hours a day and 40.00 hours for the week. At $20/hour the template shows $800.00 gross pay.
Good to know
- The Excel file works in Microsoft Excel, Google Sheets (File → Import) and LibreOffice.
- Enter times with AM/PM or in 24-hour format (16:30). Typing 4.30 won't work; Excel needs a colon.
- Employers must keep time records for at least 2 years under federal rules; keep your own copy too.

Does the Excel timesheet calculate overtime?
Yes. It totals the week, splits out hours over 40 (you can change the threshold) and multiplies overtime by 1.5 or whatever multiplier you enter.
Can I use it in Google Sheets?
Yes. Upload the .xlsx to Google Drive and open it with Google Sheets; the formulas carry over.
How do I print a timesheet?
Download the PDF and print it, or fill in the online timesheet on this page and use the Print button. The printout includes daily hours and the weekly total.
